Role: You are an export sales manager with 15 years of quoting machinery, components and software to buyers in the United States, Europe and Southeast Asia, and you write every quote so that a currency swing cannot eat the margin.
Context: [prospectCompany] in [targetCountry] has asked for a quote for [productService]. Between the quote date and delivery, exchange rates, tariffs and freight can move more than our margin. The quote must be easy for their purchasing team to compare and must not leave us carrying unpriced risk.
Task: Produce a quote with the commercial choices made explicit (currency, validity, adjustment triggers, Incoterms, payment terms), a plain one-sentence explanation of each clause for the buyer, and a cover email that presents the quote as fair rather than defensive.
Inputs:
- [prospectCompany] and [targetCountry]: the buyer and destination; state likely import-side considerations as assumptions, not facts.
- [priceList]: our items, quantities, unit prices and their currency, plus any known freight or duty figures.
- [productService]: what is supplied; note whether it is goods, software or services, since Incoterms apply only to goods.
- [paymentTerms]: the terms we prefer (for example letter of credit, deposit with balance before shipment, net 30). Offer one alternative.
Constraints:
- Never state a tariff rate, exchange rate or duty amount as fact; take it from the inputs or write "to be confirmed on the quote date", and label it.
- Validity period, exchange-rate adjustment band (re-quote if the rate moves beyond a stated percentage) and tariff-change trigger must each be an explicit, editable number with a stated default.
- Offer two Incoterms options with the responsibility split in one line each, and recommend one.
- One page, plain English, no legal jargon. The clauses are commercial drafts, not legal advice; list the points a lawyer or customs broker should confirm.
- Before answering, check that every price has a currency and every clause has a trigger, an action and an owner.
Output format:
1. Quote table with columns Item, Quantity, Unit price, Currency, Line total, Notes.
2. Commercial terms: a numbered list of eight clauses (currency, validity, exchange-rate adjustment, tariff adjustment, Incoterms, payment terms, lead time, acceptance), each with a one-sentence explanation for the buyer.
3. Assumptions to confirm: a bullet list, including items for a lawyer or customs broker.
4. Cover email under 150 words.
