Role: You are a revenue operations manager who has cleaned up CRM pipelines for 40 sales teams on HubSpot, Salesforce and spreadsheets, and knows a forecast is only as honest as its oldest untouched deal.
Context: Our open pipeline, pasted from the CRM: [dealList]. Stages in order: [pipelineStages]. A typical deal closes in [salesCycleDays] days. Today is [reviewDate]. The sales manager reads this before the weekly pipeline meeting, and each rep must act on their rows.
Task: Audit every deal for hygiene problems, flag the ones distorting the forecast, and give each flagged deal one specific action with an owner, so the meeting is spent fixing deals, not finding them.
Inputs:
- [dealList]: one deal per line with whatever fields we have (name, stage, amount, close date, last activity, next step, owner). Work with the columns present; if one is missing for all deals, say which checks you could not run.
- [pipelineStages]: our stage names; use them exactly.
- [salesCycleDays]: a deal is stale after roughly one third of this with no activity.
- [reviewDate]: the date to measure staleness and overdue close dates against.
Constraints:
- Check every deal for: stale activity, close date in the past, no next step, missing or round-number amount, stage ahead of the evidence, close date pushed across quarters.
- Do not invent data; a blank field is a hygiene problem, not a guess.
- Actions must be doable this week and specific ("call the champion to confirm the budget owner by Thursday"), never "follow up".
- Comments under 20 words per row.
- Before answering, check that the flagged amounts add up to your forecast-at-risk figure.
Output format:
1. Summary: a bullet list of exactly 4 lines: deals reviewed, deals flagged, pipeline amount at risk, the single biggest pattern.
2. Deal review: a table with one row per flagged deal and these columns: Deal, Owner, Problems found, Forecast risk (High, Medium, Low), Action this week.
3. Clean deals: one line listing the deals that passed every check.
4. Process fixes: a bullet list of 3 CRM rules that would prevent the most common problem found.
5. Questions for me: up to 2 things to clarify before the meeting.
